Project example

The problem

In this illustrative project, I worked through a common problem for a small online shop with a retail counter. Staff copied order details between systems, kept customer enquiries in separate inboxes and struggled to see which messages needed a reply. I focused on the repeated entry and unclear ownership behind those delays.

What was implemented

For this example, I connected WooCommerce with HubSpot through Zapier so new enquiries could create contact records and follow-up tasks. I mapped the order details needed for a Xero handoff and added checks to catch missing information before it moved across. I also set up a shared task view, tested duplicate entries and cancelled orders, and wrote clear steps for handling exceptions without rebuilding the whole workflow.

The outcome

In this fictional example, I left the team with a clearer view of customer enquiries and less copying between systems. Staff could see who owned the next step, while exceptions were easier to spot. The daily process felt more organised and easier to explain to new team members.
